Position Overview:
FCI seeks a well-organized, high-energy operations team member to help our team run more smoothly and efficiently. The Office Operations Manager is responsible for supporting FCI’s general office operations in both Milwaukee and Madison and providing executive assistance with administrative tasks.
Reports To: Chief Executive Officer (CEO)/Chief Operating Officer (COO)
Departmental Supervision: Chief Operating Officer (COO)
Location: Madison, WI
Role & Responsibilities:
Executive Support
- Assisting with scheduling and meeting coordination for the CEO & COO, as well as other members of the director level team
- Administrative needs of the CEO & COO such as travel management, expense reporting, scheduling, and other time reporting responsibilities
Office Support
- Serve as the primary point of contact for everything a well-run office needs, such as supplies ordering, interfacing with vendors in support of IT needs, management of inbound & outbound mail and managing staff gatherings
- Working with FCI’s COO and CEO for benefits management and coordinating other vendors providing services to the organization
Salesforce Data Management
- Supporting director-level team with Salesforce data entry – i.e., updating contact information and documenting external partner interactions
Board & Committee Management
- Coordinate board & committee meetings including scheduling and preparation
- Management of compliance related communications with board members and archiving related documentation in support of audit requirements
- Planning and execution around board retreats/events
Special Projects
- Supporting team members with special projects as needed, including event coordination, meeting scheduling/planning/follow-up
Key Skills Required:
- Interest in mission-based lending and community development
- Process orientated with ability to develop systems
- Strong project management abilities
- Expected to work in-person 3 days per week at FCI’s Madison office location
- Strong verbal and written communication skills
- Proactive problem-solving capabilities
- Self-starter able to develop strong relationships both internally and externally
- Basic understanding of banking/finance is preferred, but not critical
- Strong analytical skills and attention to detail, ability to deal with ambiguity and changing priorities in a rapidly growing, agile and company with a highly entrepreneurial culture
- Ability to travel, maintain vehicle insurance, and a valid driver’s license are required
- Flexibility to occasionally work evening and weekend hours as necessary
- Bachelor’s degree preferred but not required
Compensation & Benefits:
Compensation
FCI provides a competitive salary and benefits. The salary range for this position is $65,000 – $72,000.
